Assistant - Position based in Madrid.




ABOUT THE ROLE



We are looking for an assistantto joinour Global Commercial Operations team based in Madrid.



Position Objectives:
- Handle daily requests and queries from senior managers and managing the teams general administrative activities.
- Organize and schedule appointments
- Plan meetings and, if needed, take detailed minutes
- Make PowerPoint presentations
- Assist in the preparation of regularly scheduled reports



Tasks and Responsibilities:
- Develop and maintain a filing system
- Update and maintain departmental policies and procedures
- Prepare internal reports or support team members to prepare them
- Book travel arrangements
- Submit and reconcile expense reports
- Liaise with team members to handle requests and queries from senior managers




ABOUT YOU



High School degree; additional qualification as an Administrative assistant or Secretary will be a plus

Special Knowledge:
- Proven experience as an assistant or office admin assistant
- Knowledge of office management systems and procedures

IT Skills:
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)

Languages:
- Fluent English and Spanish

Additional Requirements / Soft Skills:
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem:solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi:task
